Delegates in Online Booking Tools and Agent Assist

Travelers can assign a delegate—such as an assistant, department manager, or financial coordinator—to book travel on their behalf through the online booking tool (Deem) or with a World Travel agent via Agent Assist. Delegates can search and reserve flights, hotels, and rental cars using the traveler’s saved profile information (including loyalty programs, travel preferences, and payment methods).

Assigning a delegate ensures:

  • Convenience – travelers don’t need to manage their own reservations.
  • Accuracy – bookings use the traveler’s pre-loaded details and comply with University policies.
  • Flexibility – travelers can manage their own bookings, allow a delegate to do so, or use a combination of both.

Whether using Deem or Agent Assist, travelers retain full visibility into all reservations made on their behalf and continue to receive confirmations, updates, and travel alerts as if they had booked directly.

Important Notes
  • For security purposes, only the traveler can set up a delegate in Deem. This must be done by the traveler before a delegate can book on their behalf.
  • To protect sensitive information, only the last four digits of saved cards are visible to delegates, and personal details such as date of birth are automatically blurred.
