Booking Requirements and Methods

Non-profiled users include guests, visitors, and students. These individuals may only use World Travel when Brown is directly covering the travel costs; personal credit cards are not permitted for these bookings.

Currently, non-profiled users can only book airfare and rail reservations through World Travel via Agent Assist. For local hotels, the Providence Area Hotel Direct Pay option remains available; this process cannot be completed through World Travel.

The booking process for non-profiled users must be initiated by a Brown-affiliated profiled user (faculty or staff). There are two options for booking travel for a non-profiled user:

Option 1: Agent Assist using a Departmental Travel Card

The profiled user arranging the trip must first complete the Central Travel Card Usage Request Form.

If the request is approved, World Travel will contact both the profiled user and the traveler to initiate the booking. Once the Central Travel Card has been charged, the worktags provided on the request form will be charged back for the travel expenses.

Option 2: Agent Assist using the Brown Central Travel Card

The profiled user arranging the trip will follow the standard Agent Assist booking process outlined above. They must also notify World Travel that a departmental travel card attached to their profile should be used for the booking.

World Travel can work directly with the traveler to finalize the itinerary, but the profiled user who initiated the request must give the final approval before tickets are issued.
