World Travel Booking Overview
There are two ways to book travel:
- Deem - the self-service online booking tool powered by World Travel
- Agent Assist - Email or over the phone with World Travel Agents
- Standard flights, hotels, and car rentals that follow university travel policy.
- Individual travel that does not require complex itineraries or group coordination.
- Travelers who prefer self-service booking with automated integration to university systems.
- Complex international itineraries (multiple destinations, layovers, or airlines).
- Group travel (students, faculty, or research teams).
- Special requests (disability accommodations, visa documentation, unusual baggage requirements).
- Travel disruptions (flight cancellations, weather events, airline strikes).
- Rail reservations (rail can only be booked through agent assist at this time).
- If you prefer working directly with a travel professional.
User Profiles
A basic travel profile is automatically created for faculty & staff using information from the Workday integration. After the profile is created, profiled users need to:
- Log in to Brown's Deem platform (via single sign-on)
- Review and update additional required fields
Users Defined
- Profiled Users = Faculty/Staff
- Non-Profiled Users - Guests/Visitors & Students
Note: Only profiled users have access to Deem. See the “Booking for Non-profiled Users” section on how to book travel for Guests/Visitors & Students.
For more information on initial profile activation and step by step guidance, see the Booking Travel at Brown - Workday Self Guided Training.
Service Fees
World Travel’s service fees are transaction-based and support the specialized services provided by a Travel Management Company. Details on when these fees apply are covered in the Booking Travel at Brown – Workday Self-Guided Training.
