- Like-for-Like Matching: Rebookings will only trigger for the exact same itinerary. For flights, this means the same airline, flight number, date, time, cabin class, and standard seat assignment. For hotels, it guarantees the same property, bed type, number of beds, and room amenities.
- Keep Your Rewards: Your frequent flyer numbers and hotel loyalty points remain entirely untouched and intact—you earn your rewards exactly as originally planned.
- No Manual Approvals: The system handles everything seamlessly in the background. If a rate drop is successfully secured, you will simply receive an updated confirmation email from World Travel containing your new Ticketed Invoice.
Program Details
Air Price Assurance
- Monitoring Window: Utilizes advanced predictive AI to monitor airfare from the exact moment of booking through the airline's void window limit (or up to 48 hours prior to departure).
- Minimum Savings Threshold: A ticket will only be rebooked and reissued if the new fare yields a net savings of at least $50 compared to the original price.
- Tracking Rules: Tracking applies to itineraries containing exactly one passenger and one ticket number. Monitoring stops once a lower fare is successfully locked in.
Hotel Price Assurance
- Monitoring Window: Automated scans run daily at 10:00 AM ET to check for price reductions on your accommodations from booking right up until the hotel's cancellation window begins.
- Minimum Savings Threshold: Hotel reservations are automatically updated if the rate drop delivers at least $15 in total savings.
- Tracking Rules: Reservations are optimized dynamically in the background. On average, an eligible hotel booking is rebooked 1.2 times prior to check-in to capture sequential price drops.
Financial Model & Expense Clarity
There are no upfront fees or subscription costs for these services—charges are only generated when net savings are achieved. Both programs utilize a 50/50 gain-share structure where savings are split equally between Brown and World Travel.

Understanding Your "Ticketed Invoice" Receipts
When a price optimization occurs, World Travel will email you an updated Ticketed Invoice. This statement will display the full financial audit trail:
- The New Lower Rate: The reduced base cost of your flight or hotel room.
- The Optimization Line Item: For flights, the shared savings amount will appear explicitly as a "Shared Air Savings" line item. For hotels, the gain-share amount will appear as a "Price Assurance Fee" line item.
Example
Imagine you book a travel reservation for an upcoming Brown-related trip, and market rates drop significantly before your stay:
- The Original Booking: You book an option through Deem for $200.
- The Price Drop & Rebook: Price Assurance finds an identical option for $120 (a gross savings of $80). The system automatically cancels your old reservation and locks in the lower rate.
- The 50/50 Gain-Share Split: The $80 savings is split equally ($40 retained as program savings, $40 to World Travel).
- Your New "Ticketed Invoice" Receipt: You will receive a new Ticketed Invoice from World Travel that reflects:
- New Base Rate: $120
- Price Assurance Fee (or Shared Air Savings): $40
- Total Trip Cost: $160 (You successfully saved $40!)
Credit Card Statements & Bank Syncs
The shared savings or fee amount will be automatically charged to the exact same form of payment on file used to purchase your original airline ticket or secure your hotel reservation. On your credit card statement, this charge will appear as a "Service Fee" from World Travel.
A common point of confusion is why these optimizations appear on bank statements as an additional charge rather than a refund or credit.
- For Hotels: Hotels do not charge your credit card upfront at the time of booking; you pay the property directly when you check out. Because no money has left your account yet, World Travel cannot issue a "credit." Instead, the hotel simply lowers your final checkout bill from $200 down to $120, and World Travel processes our corporate program's $40 split of the realized savings as a separate transactional "Charge."
- For Flights: Air Price Assurance operates within the airline's void window—the short period immediately after a booking before the airline permanently settles the transaction. In most cases, the original higher-fare ticket is voided before your card is fully processed, so you are only charged the new lower base fare. In some cases, the original charge may temporarily post to your account, but it is followed by a credit for the original fare once the ticket is voided. Your final charges will reflect the lower base fare, and World Travel's share of the savings will appear as a separate "Shared Air Savings" charge.
Step-by-Step Expense Reporting Instructions
When completing your expense reports, treat Price Assurance charges exactly like standard transaction fees:
- Identify the Charge: Match the "Service Fee(s)" on your credit card statement to the corresponding line item on your World Travel Ticketed Invoice receipt.
- Expense Category: Record the charge under the "Travel Booking Fee" category in your expense management system.
- Net Benefit: Remember, even though it is listed on your report as a “service fee”, the overall cost of your trip's base fare or lodging rate has decreased significantly, resulting in a net financial win.
Important Reminder on Flight Seat Upgrades: Air Price Assurance targets optimizations on base airfares. If you plan to purchase paid seat upgrades or specific flight add-ons, please wait until after the first 24 hours from your original booking to do so. Purchasing upgrades before this window closes may lock the ticket and prevent the system from accurately optimizing your fare.
